Sound is where event budgets are most often misallocated — in both directions. Families under-spend and get distorted audio that ruins the speeches, or over-spend on a system far larger than the room needs and spend the evening fielding noise complaints.
Here is a plain-language guide.
Guest count is the starting point, not the whole answer
A rough guide for indoor venues: up to 100 guests needs a compact point-source system; 100 to 300 needs a mid-size system with subwoofers; 300 to 800 needs a proper line array; above 800 needs line array with delay speakers so the back of the room hears in time with the front.
Outdoor venues need appreciably more power for the same guest count, because there are no walls to reflect sound back into the space.
Speech and music have different needs
This is the point most often missed. A system tuned for dance music will make speeches boomy and unintelligible. A system tuned for speech will feel thin when the DJ starts.
Any competent operator will re-tune between segments. If your event has significant speech content — speeches, a satsang discourse, an anchor-led programme — say so explicitly at the quotation stage.
Coverage matters more than raw volume
The commonest complaint at Indian weddings is not that sound was too quiet but that it was painfully loud near the stage and inaudible at the back. That is a coverage problem, not a power problem, and the answer is more speakers positioned intelligently rather than turning the existing ones up.
Know your noise restrictions
Many Delhi NCR venues enforce a 10 PM cut-off for amplified sound, and residential areas apply it strictly. Confirm the limit with your venue in writing before planning a late-night dance segment, and build the running order so the high-energy portion falls inside the permitted window.
Three questions worth asking your provider
Will an operator remain on site for the whole event, or only for setup? What spare equipment will be on hand? Will the system be re-tuned between the speech and dance segments?
